Esade International Limited understands the importance of protecting your personal data. This privacy policy sets out what personal data we collect, use and process when you interact with us either as a client or a candidate.
We review our privacy policy regularly. Where the policy has been updated, this will be clearly identified by reference to the date of the policy above.
CLIENTS
We collect, store and use your contact details including your name, email address and work telephone numbers so that we can provide recruitment services to you.
CANDIDATES
Introductions
Using your contact details you have published on business social networks (e.g. LinkedIn) or you have provided to recruitment agencies who then share your contact details with us, we contact you to discuss whether you would be interested in registering with us for any current or future roles we have either with Esade International Limited or with our clients. Our telephone conversations are recorded for information accuracy, internal compliance and training purposes. Where you provide personal data by telephone, this will be stored as part of the recording so that we can check the accuracy of our transfer of that personal data to our registration software.Registration
If you send us your CV via our website, we store your CV and contact details so that we may contact you to discuss your career aspirations and whether you would like to register with us. When you register with us, we ask you to complete a candidate registration form and if you have not already provides it, a current copy of your CV so that we can consider your suitability for current and future roles either with us or with our clients.
Keeping in touch
Once you have registered with us, we use your personal data to update you on the progress of your application for current roles we have shortlisted you for, and, future opportunities with our clients. From time to time we also use your personal data to check that you wish to remain registered with us and discuss your career aspirations.
Non-disclosure agreements
Sometimes our clients require candidates to enter into non-disclosure agreements to ensure any confidential information relating to the role you are being considered for remains confidential. We use your personal data to create these agreements when they are required.
Sharing your personal data with our clients
We share the following personal data with our clients when we are recruiting for current and future roles you have expressed interest in or roles that are similar to those you have expressed interest in:
- personal data you have published on business social networks;
- personal data you have provided during our registration and keeping in touch conversations;
- personal data you have provided in the registration process.
For candidates located within the EEA
Where you have expressed an interest in roles or opportunities outside the EEA this will involve transferring your personal data to a country outside the EEA. We do this on the basis of your expression of interest and so that the client can consider you for roles or opportunities located outside the EEA.
For candidates located outside the EEA
Where you have expressed an interest in roles or opportunities in a location where you are not currently resident, this will involve transferring your personal data to a country that may not have the same data protections in place as your own. We do this on the basis of your expression of interest and so that the client can consider you for roles or opportunities.
Sharing your personal data with other companies
We also share your personal data with our third party suppliers who support the delivery of our recruitment solutions:
- our website hosting supplier;
- our IT network support company;
- our candidate management supplier; and
- suppliers supporting the day-to-day running of the business e.g. our professional advisors, telephone and internet companies etc.
Where we share your information with other companies, we only do so where those companies have appropriate technical and organisational measures in place to ensure the security of your personal data and any processing they undertake is only carried out on the basis of our instructions. Where the company is a US company, we will only share your personal data with it if it is a member of the EU-U.S. Privacy Shield or where we have put Standard Contractual Clauses Agreements in place with that US company. This ensures that when your personal data is processed in the United States, it will receive the same level of protection to that in the European Union.
Where required by law or competent authority, we will share your personal data with regulators, courts, government departments and law enforcement agencies. We will inform you of this before we share your personal data unless we are legally prevented from doing so.
Your personal data rights?
The law entitles you:
- to receive a copy of any of your personal data which we have collected;
- to request that we correct or complete personal data we have collected;
- to request that we delete or stop using or storing any of your personal data when we no longer need it;
- to object to the processing of your personal data where we are processing it other than to process and deliver your order or deal with a question you may have; and
- in some circumstances, have your personal data transferred to another organisation.

How long do we keep your personal data for?
We categorise personal data according to how we use it and then retain it in accordance with our data retention policy. Each use has a different retention period associated with it which also takes any legal obligations we have in relation to that data category. We also use your personal data to meet our own legal obligations e.g. in relation to financial reporting. After that time we permanently delete your personal data.
